For a company event, separate the information needed for the supply from organisational data that’s no use for printing. You need models, sizes, quantities and authorised graphics; there’s no need to hand over the entire participant archive.
What to consider
Clarify whether employees, companions and staff must have the same shirt. A company logo can have space and colour rules: ask for the official artwork instead of extracting it from an email signature. The event date must be given as a requirement to be checked, not as an automatically guaranteed delivery.
